Part-Time Bi-Lingual Admin Assistant

Are you a detail-oriented professional looking for a part-time role that makes a difference? Join us as our Part-Time Bi-Lingual Admin Assistant! You will be the backbone of our office, providing essential support to our Director and ensuring our operations run smoothly. This role is perfect for someone who loves variety and thrives in a dynamic environment.

What You'll Do:

  • Be the Go-To Person: Offer key administrative support to the Director and handle general office procedures like answering phones, managing messages, filing, photocopying, and faxing.
  • Keep Us Organized: Ensure our Administrative/Program Office and Reception area are always neat and welcoming.
  • Manage Memberships: Track and maintain daily, weekly, and monthly membership records, including childcare, preschool, and camp registrations.
  • Support Programs: Work with staff to promote and advertise our exciting programs and activities.
  • Be a Positive Liaison: Act as a bridge between staff, parents, and members, ensuring smooth communication.
  • Plan Fun Trips: Assist in planning and coordinating off-site field trips during the summer and school year.
  • Design and Distribute Materials: Help create brochures, flyers, and announcements, and coordinate specialized mailings.
  • Handle Office Supplies: Order and safely store office supplies, always looking for the best prices.
  • Assist with Financials: Record payments, develop tracking spreadsheets, and review fee receipts, working closely with our finance department.
  • Miscellaneous Support: Provide additional support to any aspect of our three Clubs as needed.

  • Technical Skills: Strong skills in Excel, Word, and E-mail, with the ability to learn more.

  • Independent Thinker: Competent problem solver who can think on their feet.
  • Communication: Strong oral and written communication skills.
  • Experience: Minimum of 3 years of related experience.
  • Language Skills: Portuguese and/or Spanish speaking preferred.

Job Type: Part-time

Schedule: Monday to Friday, 25 hours per week (9:00 AM – 2:00 PM)
