Order Processing Specialist

The Order Processing Specialist supports and fulfills logistics & supply chain compliance related functions, and will be responsible for managing customer order processing, placing re-stock orders with overseas wineries and maintaining appropriate inventory levels, and assisting the Director of Logistics & Compliance with compliance at Federal and State level. The position will liaise with suppliers, sales force, and distributors ensuring customer satisfaction in a fast-paced environment where attention to details is of utmost importance.

  • Process customer shipping orders
  • Plan and coordinate consolidations to ensure prompt and cost effective movement of wine
  • Provide customer service to all suppliers and clients, with updates on order status
  • Coordinate, collect and organize all needed documents for each shipment
  • Liaise and organize with couriers, cargo agencies, freight forwarders
  • Update daily reports to track orders
  • Analyze operational or management reports and data for trending and optimization
  • Identify, report and resolve discrepancies with price list
  • Monitor wine inventory levels at a local warehouse and transfer wine accordingly
  • Manage delivery issues, damaged products, and updates, note trending and report on findings
  • Maximize orders for cost/benefit improvements
  • Accurate tracking of all vintage changes
  • General office administrative duties
  • Developing positive relationships with other employees of the company in Marketing, Administration, Sales, Finance and other departments as needed
  • Provide timely and accurate monthly reports of progress when necessary


Required Education and Experience

  • BA/BS degree in related field or 2+ years of related experience or equivalent.
  • Analytical, customer focused, highly organized and detail oriented with a proven ability to multi-task.

· Experienced in Logistics and Supply Chain

· Wine / Spirit importing or distributing experience preferred

· Ability to learn quickly and adapt to quickly changing and growing work environment

· Follow up with customers and resolve problems in a timely manner

· Prioritize job responsibilities to meet deadlines

· Strong interpersonal skills and ability to develop positive working relationships

· Must be able to multi task, organized with attention to details

· Must be able to work independently with minimal supervision and work as team player

· Proficient in Microsoft Office Suite with great knowledge of Excel

· Knowledge of SAP is preferred

· English as primary language; Spanish is a big plus
