Front Office Administrator

Our client has an immediate need for a secret cleared front office administrative assistant for their busy office in Ft. Belvoir, VA.

The front office assistant will:

  • Answer Phones and Take messages as needed
  • Direct phone calls to proper person and screen calls as necessary
  • Create and Maintain File system IAW Army Requirements and management guidance (digital)
  • Build a manageable file system that is organized and effective for the Front office
  • Build travel folders to assist with travel arrangements and filing of completed travel documents
  • Provide Correspondence support as requested
  • Reply to emails and route email and other mail as required
  • Handle mailing of document/packages and sorting of mail
  • Support office management with day-to-day tasks as needed.
  • Find/locate personnel at the request from the Director and Dep. Directors
  • May require additional calling to locate/track personnel to include calling branch chief/officemate personnel or cell phone
  • Create, maintain and distribute division contact list to include office number, cell number, key # and office/room number
  • Office Supplies Management
  • Ensure we have office supplies in the closet and coordinate orders as needed
  • Create and schedule meetings utilizing the Microsoft Office Calendar tool
  • Use personal calendars for office management and conference room calendars to ensure seamless scheduling.
  • Greet Staff and visitors as they enter the front office
  • Engage personnel to find out if they have a meeting with front office personnel or if they would like to meet.
  • Check with Front office management to ensure they have time to meet with the individual.
  • Provide friendly support to staff
  • Travel Arrangements for S&T Division Leadership 
  • Assist with coordinating travel requirements as needed
  • S&T Division Work Orders – Computer, Phone, Facilities
  • Must keep documentation for all work orders – Work order requests/tracker

  • 1+ years of experence
  • Secret Clearance
  • Microsoft Office experience
  • COR Hours 0800-1600
    Desired Skills:
  • Experience with Defense Travel System (DTS) experience
  • Experience supporting senior government personnel
  • Prior Military experience or supporting military experience
