Job Description

Principal Responsibilities:

  • Work very closely with Consultant CFO and AAF team to facilitate a good work flow of information from the main office to both parties
  • Create and update various spreadsheets in Excel, including utilities by location, provider and type of utility.
  • Coordinate and maintain electronic and if necessary, hard vendor files, including but not limited to 1099’s & COI’s
  • Paper to electronic files – save paper documents to efiling system in sharefile system with the goal of all documents being accessible electronically
  • Accounts Payable- complete check requests, process urgent vendor payments, submit bills to bill.com
  • Monitor and download invoices from vendors that require logins to receive invoices, such as Mass General Brighams, The Hartford, Philadelphia and others
  • Credit cards, Uber– including Home Depot, WEX and Amazon, input GL code and classifications in Quickbooks, research and obtain coding when not obvious
  • Monthly agency activity reports – save all monthly shelter reports on sharefile, review and ensure each report is saved electronically, each month
  • Assist Consultant CFO- run reports as requested, input data for budgets and reports
  • Annual audit preparations-assist with obtaining and scanning documents
  • Maintain tax exempt status with vendors, be watchful of invoices with sales tax and correct with vendor
  • Create deposit slips- take to bank- notify receipt of grants to Development
  • Provide electronic copies of all grants after check is received-share with fiscal and all involved departments
  • Responsible for maintenance of office equipment, including copy/fax machines, postage machine.
  • SE inventory
  • Liaison with outside service providers for IT and office equipment
  • Create and maintain calendars for vehicle usage and training/conference rooms
  • Mail pick up and sorting
  • Order office supplies and printed material as needed

Job Requirements

- Bachelor's degree or higher with a major in Accounting or Finance. MBA 

- 5 years or more of professional experience preferably in a school or nonprofit organization.

- Proficient in software applications, including Quickbooks and Microsoft Office.
- Strong communication skills and ability to speak and write with precision and accuracy
- Excellent organization skills.
- Must possess the ability to interact with members of the community with a high level of professionalism and confidentiality.
- Self-starter and creative problem solver.
